FROM COMPANY ACCOUNTING TO INFORMATION MANAGEMENT

Among the objectives that the management applications have set themselves in recent years is that of making their customers reach an excellent level of integration in the internal business processes (increase in efficiency / productivity and facilitating the reduction of costs), as well as for external processes (increase in effectiveness in relations with suppliers, ever better services and products, increasingly competitive prices). From these needs it follows that the dual accounting systems are no longer sufficient and all the best administrative modules of the best ERP adopt Anglo-Saxon derivation systems: mixed or unique integrated. This is why G&A was born: a software capable of reasoning according to the principles of the "integrated single system", but where not strictly required, also capable of adapting to the "mixed system" and, in some ways, even to the "dual accounting system". The G&A accounting application form was born from the need to adapt the company's accounting to the current reality where, in addition to the civil tax management, the need to obtain information on management in a timely and possibly immediate manner is increasingly pressing. The collection of both administrative and managerial information and their analysis must allow the corporate bodies responsible to highlight the sectors at risk within the same corporate structure in order to intervene with appropriate measures. G&A fulfills all civil and tax obligations, thanks to the flexibility in the classification of the accounting accounts, it carries out analytical surveys of the administrative activity aimed at providing information for all company decisions. All without a duplication of surveys, but thanks to an effective structure of the chart of accounts that allows you to define which accounts feed the management accounting, which the statutory one and which, and are the majority, the one and the other. The information flows detected by the various management areas (warehouse, production, invoicing, etc.) flow directly into the accounting system allowing to obtain higher efficiency in data processing, a reduction in error risks and greater timeliness in the issue of information. The "multi-segment" accounting management (with multiple destinations) allows you to link multiple information to any accounting movement (for example: general ledger account, establishment, cost center, job order, expense class, project, activity, financing, intra / extra group relationships etc.).

MULTI CORPORATE, PLANT AND LANGUAGE

G&A works in a multi corporate, multi plant and multi language environment. Thanks to its own report generator, it is able to provide data at the group, company, plant and cost center level. The three-level Chart of Accounts (Group, Account and Sub-Account) can be expanded to a further fourth level by associating an appropriate type of personal data to the account, regardless of whether it is of an asset or income type. The choice of managing multiple registries is at the discretion of the company and allows operationally detailed management of accounting information without the need to expand and replicate the Plan of Accounts out of all proportion (for example, relations with banks, with the tax authorities, with employees, with group companies, etc.). G&A is a tool that can be very useful for the management of SMEs, and can be easily interfaced with the most varied IBM i management applications and its evolutions currently on the market.

THE STRUCTURE OF G&A

G&A is able to manage from single company to groups of multiple companies.

  • The "GROUP" may include multiple companies.
  • Multiple plants (branches, shops, warehouses, etc.) can be managed within each individual company.

In the case of management of a single plant, G&A does not require the specification of the same in the First Note transactions. G&A automatically manages the setting of the "Default" plant. Multiple cost centers can be managed for each individual plant. If you do not intend to manage cost centers for managing a single plant, G&A does not require the indication of cost centers in the First Note transactions as it automatically manages the setting of the "Default" Cost Centers.

ACCOUNTING EXERCISES MANAGEMENT

Several accounting years can coexist in G&A. A financial year is considered closed when the closing transactions have been made. The periods of the year are considered "closed" to the definitive printing of the newspaper relating to the same period. G&A also manages a supply control of the periods of the year managed through a special calendar. Transactions from "external" subsystems such as "Treasury" or "Payments and contributions" can be protected from unwanted changes and / or cancellations. The exercises can also have a mid-year course.

 

THE G&A ACCOUNT PLAN

In G&A the Chart of Accounts is set up according to homogeneous groupings, first summarized and then gradually analytical. The structure of the account (summarized in X XXX XX XX) is as follows:

  • Account Type Code (1 character)
  • Group (3 characters)
  • Account (2 characters)
  • Sub-account (2 characters)

THE TYPE ACCOUNT

Accounts coexisting in G&A that concern:

  • statutory accounting only
  • management accounting only
  • both accounts.

The Account Type code is used to characterize the individual accounts. It is an alphabetical code that must be placed before each account when the accounting entries are made. In the Chart of Accounts, in correspondence of each account, the Account Type code is shown in literal form. Type "C" accounts: only statutory interest accounts are identified. The "C" accounts are normally used to record items with criteria other than those applied operationally. Accounts of type "G": the accounts of interest exclusively management are thus characterized. These include, for example, accounts opened for warehouse withdrawals, those relating to variances, those that accept entries set on the basis of standard values. In all cases in which the same item is valued with management criteria different from the civil ones, the values ​​determined with management criteria are recorded in the "G" accounts, while the values ​​determined for civil purposes are recorded in the "C" accounts . "E" type accounts: instead of the separate "C" + "G" accounts, this type of account is used in cases where the items concerned are valued by companies with univocal criteria. In G&A the account types "C" or "E" are recorded in the journal unlike the "G" accounts.

INTERCOMPANY CODE

It is a segment used to distinguish, for civil and management purposes, the movements with associated companies from the remaining movements. The intercompany code is used with the above criteria to classify both balance sheet and income statement items.

17/5000 AFFILIATE CODE

It is used in cases where the transaction is detected in the context of accounts characterized with intercompany codes for the identification of the affiliates with which relationships are maintained. This is the unified code correctly used for reporting and, in fact, coincides with the company code.

ANAGRAPHS OR PARTITARIES

In G&A, different types of personal data can be managed, in addition to the classic customers and suppliers, there can be an additional level of detail when required. An example would be the management of the "BANKS" account; as an alternative to the creation of as many accounts as there are open banking relationships, only one account can be maintained with the link to the registry. The connection with a specific registry can be activated not only towards balance sheets but also economic and management accounts.

PRIMA NOTA TRANSACTIONS

In addition to the elementary transactions, G&A also manages the "provisional" and the "non-accounting monthly". All lists, queries and reports processing offer the possibility to highlight these transactions through specific requests. The monthly extra-accounting transactions are registrations like the others and differ from the fact that they are highlighted only in the period of competence and at the request of the user; these transactions must not be certified or canceled as they are not considered in the periods preceding or following the period of competence; moreover, they are not considered in the press of the accounting journal.

MANAGEMENT TRANSACTIONS

Management-related transactions are not considered in the accounting journal printout. They are normally linked to general ledger transactions but unlike these, they can also be changed after the accounting journal is printed; however, they must always correspond as a sum to the amount of the accounting row that generated them.

TRANSACTIONS WITH VAT

The transactions relating to transactions with VAT can be modified even after the definitive printing of the VAT registers; in this case, however, no changes can be made regarding information relating to VAT accounting. Pure VAT transactions are also managed (i.e. without connection in general accounting).
